Privacy Policy
1. Who we are
PickleMileage is a product of Pickle Soup Games LLC (the “operator,” “we,” or “us”). This policy explains how personal information is handled when you use the PickleMileage web app.
For privacy questions or requests, email support@picklemileage.com.
2. Information we process
Depending on how you use the app, we may process:
- On-device business records — trips, saved locations (names, addresses, coordinates, notes), distance cache, and settings stored in your browser’s IndexedDB. This data stays on your device unless you export a file or upload a cloud backup.
- Account information — if you sign in, Clerk processes your email address and authentication session so we can recognize your account and Premium status.
- Payment information — if you buy the one-time Premium purchase, Stripe processes payment details. We receive limited fulfillment metadata (for example, that a purchase completed and which Clerk user to grant Premium), not your full card number.
- Optional cloud backup — if you have Premium and upload a backup, we store a JSON snapshot of your trips, locations, cache, and settings in Netlify Blobs under your Clerk user id.
- Anonymous map client id — a random id in local storage used only to throttle shared address-search and routing usage.
- Map lookup requests — address search and routing queries are sent to Geoapify (and optionally LocationIQ as a backup) through our Netlify Functions so API keys stay server-side.
- Technical logs — hosting and payment providers may retain standard request, security, and transaction logs.
We do not run advertising or product-analytics trackers in the app.
3. Why we process it (including GDPR bases)
- Provide the service / contract — run the app, fulfill Premium purchases, and store optional cloud backups you request.
- Legitimate interests — protect the shared mapping budget (rate limits), prevent abuse, and keep the service reliable.
- Consent / your choice — creating an account, buying Premium, and uploading a cloud backup are optional. You can use local-only mileage logging without them.
- Legal obligations — keep purchase and tax-related records where required.
4. Cookies and local storage
We do not set advertising cookies. Sign-in uses Clerk session cookies necessary to keep you authenticated. The app also uses IndexedDB for your records, local storage for the anonymous map client id (and any legacy device purchase token), and a service worker for the offline app shell. These are needed to operate the product you asked for; we do not use a separate cookie banner while we have no non-essential trackers.
5. Sharing and subprocessors
We share information only with providers that help run the product:
- Clerk — authentication
- Stripe — payments
- Netlify — hosting, functions, and optional backup storage
- Geoapify — primary geocoding and routing (via our server)
- LocationIQ — backup geocoding and routing when the primary provider is unavailable or near its daily budget (via our server)
- Resend — optional operator alert emails (for example new sign-ups, mapping usage thresholds, and a daily aggregate ops digest), when configured. Digests include counts such as Clerk sign-ups/sign-ins and mapping budget usage, not trip contents.
We do not sell personal information and do not share it for cross-context behavioral advertising (CCPA/CPRA).
6. Retention
- On-device data remains until you delete it, clear site data, or restore over it.
- Cloud backups remain until you delete them in Settings or replace them with a new upload.
- Clerk and Stripe retain account and payment records under their own policies and legal requirements.
- Rate-limit counters and fulfillment records are kept only as needed for abuse prevention and purchase idempotency.
7. Your rights (EU/UK GDPR and similar)
Subject to applicable law, you may request to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete information (erasure)
- Export a portable copy of your mileage data (JSON backup download)
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
- Lodge a complaint with a supervisory authority in your country
8. California notice (CCPA/CPRA)
In the last 12 months we may have collected the categories listed in section 2 for the business purposes described above. We do not sell or share personal information as those terms are defined for advertising. California residents may request to know, delete, or correct personal information, and to not be discriminated against for exercising rights. Email support@picklemileage.com to make a request.
9. How to exercise rights / delete your data
- Local data — download a JSON backup anytime in Settings, or clear this site’s data in your browser to remove IndexedDB and local storage.
- Cloud backup — when you have Premium and are signed in, use Delete cloud backup in Settings to erase the stored snapshot.
- Clerk account — open your Clerk account / user profile in the app (or ask us) to delete your sign-in account. Deleting the account removes our ability to recognize your Premium status and cloud backup key; also delete any cloud backup first if you want that snapshot gone immediately.
- Stripe — payment history is held by Stripe. Check your Stripe receipt email, or contact us at support@picklemileage.com for purchase questions. Card details are controlled by Stripe under their privacy policy.
- Email us — for any other access, correction, or deletion request: support@picklemileage.com.
10. Children
The app is intended for business use by adults. We do not knowingly collect personal information from children under 16.
11. International transfers
Our providers may process data in the United States and other countries. Where required, they rely on appropriate transfer mechanisms (such as standard contractual clauses).
12. Changes
We may update this policy as the product changes. The effective date above will change when we do. Continued use after an update means you accept the revised policy.
